Stakeholder Communications Officer

Description The post holder will support the lobbying and stakeholder relations programme for the council; delivering a programme of external affairs work, coordinating other departments and stakeholder relations activity across the council. The post holder will provide stakeholder relations support to the Leader, Chief Executive and other senior staff.

Principal accountabilities

1. Maintain the stakeholder database as a central resource for the Leader’s and CEO’s engagement activity
•Liaise with both offices to ensure information on stakeholders is recorded and kept up-to-date
•Circulate monthly updates
•Ensure contact information is accurate

2. Deliver the stakeholder engagement programme for the Leader’s office
•Oversee all logistics for each activity including diary management
•Oversee all communications and marketing materials to support the delivery of a successful activity
•Liaise with Leader’s Office on the plan and regularly report on delivery of programme
•Add, amend items as they arise, responding to new issues and projects.

3. Coordinate awards entries for the Municipal Journal, Local Government Chronicle and The Guardian Awards across the council and the CIPR awards within the Campaigns and Communications division.

4. Oversee VIP events and visits and ensure that the protocol is being adhered to within the division.

5. Support the lobbying activity working with officers across the council.

6. To take operational and project-management responsibility for a range of communications targeted at the council’s key stakeholders, including residents, staff and councillors.

7.To support the development and delivery of communication plans.

8.To liaise with internal and external suppliers including web editors, designers, printers and photographers in the production of publications and publicity; to manage the schedule and quality of work commissioned from external agencies and internal services.

9.To manage, monitor and advise on the consistent application of the council’s house style for written communications and the visual identity for design applications, ensuring work complies with the council’s style guide. To ensure that information in all communications and marketing programmes is accurate.

10.To advise and work closely with managers to deliver effective communications that meet the needs of the target audience within council protocols.

11.To arrange relevant media relations activities (such as launches, briefings and photo-calls) in conjunction with the council’s press office in line with the requirements of the post.

12.To work closely with colleagues based in departments to ensure synergy of messages and to maximise cross-council publicity e.g. through internal staff newsletters and the council’s resident newspaper.

13.To prepare clear, concise and strong copy suitable for a variety of audiences and media.

14.To ensure that easily understandable information about the council is available and accessible, through appropriate and effective distribution systems.

15.To support the financial / budget management of identified communications projects or campaigns, ensuring activity is delivered on time and within budget.

16.To work in a positive, approachable way which is transparent, open and honest to customers, partners and staff, consistent with the council’s core values and priorities.
