Office Services Manager
A small but growing organisation in Bracknell is looking to recruit an Office Services Manager to join their team. The role is a key function within Head Office. You will provide excellent service on the telephone to clients, suppliers and support services and manage a team of administrators. The Office Service Manager will take overall responsibility for managing ordering, suppliers, maintenance cover and all aspects of administration at Head Office. Health and Safety procedures and environmental impact is also part of the Office Services Managers responsibility.
Job Duties include:
Management of the Administration Team which currently consists of 2 full time members;
Sub-Contractor Review and Documentation Checking and Monitoring;
Dealing with incoming enquiries via email and phone;
Obtaining and providing quotes for consumables, ad-hoc work, specialist jobs etc;
Processing feedback and liaising with the clients and team on a key account;
General office administration including stationery ordering etc;
Processing of stock and orders and subsequent checking of invoices;
Responsible for ordering and hire of machinery;
Sourcing of new products and suppliers etc;
Monitoring supplier performance on an ongoing basis;
Sending out and monitoring client satisfaction surveys;
Monitoring and maintaining of records on the Companys environmental impact and identifying means for improvement;
Maintaining records of client complaints and compliments;
Involvement in the obtaining and maintaining of numerous accreditations, including ISO 9001, 14001 and OHAS 18001;
Responsibility for ongoing Health & Safety and Training review and implementation, including creation and issuing of ongoing documentation;
Responsibility for maintaining and monitoring COSHH records;
Liaising with the Companys Health & Safety Consultant, both on an ongoing basis and when specific incidents occur which require their advice;
Monitoring, maintaining and reviewing the Companys first aid requirements;
Assisting the Regional Managers in new contract start-ups, arranging relevant supplies and
producing all relevant documentation;
Review of client contracts/terms and conditions;
Recording and monitoring of accidents and incidents;
Maintaining a log of all ad-hoc work, ensuring invoices are raised, where appropriate;
Management of waste contracts, ensuring relevant documentation is maintained, including annual renewal of all Duty of Cares;
Management of pest control contracts, processing renewals etc where applicable;
Scheduling Periodic work;
Diary management for the Periodic Specialist Team;
Assisting the Management of the Periodic Specialist Team;
Acting as holiday/absence cover for payroll inputting;
Fortnightly checking of payroll and associated budgets;
Ongoing maintenance of all documentation and the associated documentation index;
