The purpose of the post is to provide overall management and high levels of customer care for the College Conference Centre, which is an independent business within the College Group.

The Conference Centre Manager will be required to maximise the profit of this commercial trading company of the College (turnover currently circa £3.7million) through sales and marketing, management control and enhancing and expanding the existing robust business. The Role:

You will be responsible for the day to day running of the centre.

• Set, achieve, monitor and review strategic plans
• Maintain and enhance quality control
• Set, achieve and control the Conference Centre budget with stretching income targets
• Co-ordinate sales and promotional activities
• Manage the development of the Conference Centre team, consisting of a team of seven members.
• Provide strategic and operational input at a senior level into college-wide issues, as a member of the Senior Management Team of the College.

The Candidate:

1. Previous experience of management in an operational, preferably target-driven environment, the ability to work autonomously and plan and organise workload schedules.
2. Proven commercial acumen with sound skills in financial management and a commitment to financial performance, along with a good knowledge of IT/administration and strong leadership skills.
3. Solid experience in either the hotel, conference or catering industries, although sales, marketing and customer service experience will also be valued.
4. A graduate of a discipline in any of the following subjects, with the appropriate skills and qualities:

• business/management;
• hotel and catering management;
• business with languages;
• sales and marketing;
• travel and tourism

Our client is a widely respected, internationally acclaimed centre of learning, with facilities that incorporate a state of the art conference and event venue, featuring various meeting and event accommodations, serving the wider academic and corporate business sectors.
Due to a recent departmental restructuring, they now require an experienced Interim Conference Manager.

The main duties and overall purpose of the role are detailed below;

Overall Purpose

To ensure the smooth operation of the Conference Centre.

Manage and motivate the team of conference sales co-ordinators, set and maintain sales targets, through example and participation in increasing the level of sales along with the maintenance of the business, within the Conference department.

To ensure the highest possible level of customer care is provided and develop the Conference Centre through building professional relationships; Win and retain business for the Conference Centre and promote awareness of all facilities and services available.

To assume responsibility for all aspects of; lead generation, developing proposals, client follow up, site inspections, direct mail.



Main Duties

1. Ensure that the Conference sales team grow existing accounts while generating new business leads.

2. Ensure that enquiries are thoroughly responded to from established and prospective clients for event, meetings and special needs, in a speedy fashion.

3. Manage the telephone prospecting to generate new business potential by targeting the sales team with a number of contacts per week and converting them to sales.

4. Organise sales generating events such as Trade Shows and other sales projects as required including hosting in house events and evening socials as required.

5. To measure and interpret sales reports in order to assist with the business and marketing plan.

6. Oversee and manage direct mail and online marketing campaigns.

7. To continually develop the database at all times to ensure accuracy. As well as sourcing new lists.

8. Manage large conferences and corporate events such as outdoor events for up to 1000 and numerous other events with the conference team and catering department.
9. To oversee the updating of the Conference Centre’s web site, as well as liaising with the college IT and marketing departments in relation to this.

10. To prepare weekly business sheets for the relevant internal departments in the absence of colleagues and ensure that all financials are entered accurately on the computerised diary system.




COMPETENCIES

Communication

The postholder should possess a high degree of both written and verbal skills in order to communicate at all levels both internally and externally. The ability to ensure that the clients and colleagues feel at ease in their dealings with the conference centre.


Customer Service Orientation

Courteous, patient, pleasant and helpful manner required with the ability to show an understanding for client’s concerns. The postholder should also be able to take action to accommodate client’s needs whenever possible and must be able to handle difficult situations.


Initiative

Proactive, able to identify opportunities and act on them appropriately, plus be able to react positively to unexpected outcomes and seek solutions.


Planning and Organising

Able to organise, plan and prioritise work. Capable of co-ordinating a number of factors, some out of jobholders control, to meet objectives. Failure to effectively plan and organise events would have an adverse effect upon the reputation of the Conference Centre.
