We are looking to recruit an Office Manager / PA to work on a prestigious new build project. The ideal candidate will have experience of managing an admin team whilst liaising with more senior members of staff.
We are looking for someone who can see the project through to the end and can hit the ground running.
The ability to prioritise work is a must whilst organising other members of your team to ensure the smooth running of your department. The ideal candidate will be proficient with Microsoft word, office, excel and outlook with a typing speed of 60 wpm minimum. PSA Pitman Secretarial Administration business qualification or equivalent would also be advantageous in this role.

|
Applicants will be required to carry out the task set out below:
Main Duties and Responsibilities
a)To act as Project Manager to the Executive Director Capital Projects supporting all project activity and ensuring all objectives are achieved.
b)To use recognised project management and process review methodologies, at an appropriate level to plan and deliver projects.
d)To negotiate contractual arrangements with external suppliers of goods and services in relation to projects undertaken
e)Responsibility for the timely delivery and completion of project plans and associated documentation in accordance with the agreed methodology.
f)To manage and document all project risks and issues.
g)To manage / oversee seconded and other staffs employed to support projects or who are managing smaller individual projects.
h)To build, lead and matrix manage staff brought together to form project teams.
i)To manage project budgets in accordance with College Financial procedures.
j)To prepare progress reports as required for presentation and consideration by senior management and project teams.
k)To support and promote best practice project management across the College
l)To undertake lifecycle surveys as required including the design of questionnaires, management of the collection of information, analysis and presentation of data.
m)To undertake process review activity in line with the agreed methodology, including full process review mapping.
n)To set up business improvement programmes / project plans with service delivery areas and to facilitate the implementation of new and revised business procedures.
o)Provide leadership and direction to service managers and others in demonstrating the benefits from process improvements and embedding the culture of continuous positive change.
p)To take responsibility for the preparation and design of spreadsheets on request using Microsoft XL ensuring that all information is accurately presented in report format.
q)To attend and provide notes for a range of meetings in support of the Executive Director Capital Projects.
r)To work and provide support to the Principal, Directors, Associate Directors and Heads of Schools as appropriate to ensure maximum efficiency in the delivery of projects.
s)To maintain strict confidentiality and discretion at all times.
t)Any other duties as required commensurate with the level of the post.
2.2Other Responsibilities
a)To uphold and promote College policies and procedures, promoting those specifically applicable to this area of work and also including the Equal Opportunities policies and procedures.
b)To keep up to date, so far as necessary, for the efficient executing of the job, with new legislation, procedures and techniques.
c)To be conversant with and participate in activities and developments at College, regional and national level which are relevant to the post.
d)To present and promote an appropriate public image in representing the College.
e)To undertake any other duties as may reasonably be required commensurate with the post
