We have an opportunity for an experienced Payroll Administrator to join our busy Payroll Department based at Waterlooville, Portsmouth. This position is for a 3 month fixed term contract only. JOB PURPOSE: Working within a team of 11 to perform a quality payroll service to the Department, Company and employees. KEY ACCOUNTABILITIES * Think added value for the customer when undertaking day-to-day work, and make decisions with the customer in mind. * Seek to understand customers, anticipate their needs and keep them informed and up to date. * Take time to question and investigate service delivery issues. * Fully understand customer expectations in order to manage the requirements of the deliverables. * Facilitate on-going and constructive communication with all levels of staff within the Company to foster a spirit of co-operation between business areas and the team generally. * Process a high volume payroll for c.900 employees to a high degree of accuracy. * Be aware of and demonstrate the need for confidentiality. * Attach starters to payroll system; process P45s and part month calculations. * Process leavers, calculate final payment, holiday pay etc. * Ensure all paperwork received in Payroll has relevant authority for payment. * Input variable data to payroll system and ensure all permanent elements are correct. * Process general payroll changes and information * Interpret data output from pay runs and produce back-up and reconciliation reports from system. * Ensure all leaver information is updated on system and copied to Personnel. * Ensure that all sickness is entered on the system and that OSP is calculated as per employees terms and Conditions of employment. * Check all Weekly Absence Report Forms and chase any missing sick certificates. * Responsible for balancing and production of BACS spreadsheet for third party payments. * Respond to employee queries and enquiries from third parties in a helpful/considerate manner. * File all paperwork in a timely manner. * Maintain good working relationships with others and assist in the efficient running of the overall HR Service Centre. * Be an integral part of the team, providing assistance as required, ensuring complete confidentiality and sensitivity is applied at all times. * Undertake any other duties as required as part of an integrated support team, adopting priorities and engaging in activities that promote the effective working of the whole team. Education Good standard of education. Experience Previous operational experience in a Payroll department. Knowledge of HR/Payroll Procedures and Processes. Good working knowledge of IT and Microsoft Office Email/Excel/Word/PowerPoint. Personal Qualities * Customer service focussed - sees things from customers points of view, their pressures/their concerns. * Responds to customer requests promptly. * Does not make assumptions about customer needs, asks questions to clarify them. * Friendly, approachable and courteous. * Good written communication skills. * Accurate, consistent, detail conscious. * Ability to adapt to changing circumstances. * Initiative to resolve issues and follow through - does not "pass the buck." * Ability to take initiative but knows when to refer queries upwards. * Handles difficult issues respectfully and resolves with composure. * Knows when and how to decline an inappropriate customer request and to do so politely. * Good technical ability. * Self motivated. * Committed/flexible, willing to work the hours required to get the job done. * Ability to cope with pressure/tight deadlines. Initially to be involved in specific project engineering activities associated with the Marine & Navy line of business however once familiar with these tasks and with our business and products will become an integral part of a comprehensive project management team through the various stages of new project development from initial bid stages through manufacturing, execution and also after sales support and warranty phases. Role purpose: To provide project engineering support to the contracts department and manufacturing facility to ensure that both existing and new projects are executed safely and are fully compliant to customer specifications and requirements. Provide assistance in the build and refit stages of naval application refrigeration systems to ensure timely project completion in the support of the business objectives. Responsibilities: Under general direction execute project related tasks including preparation and maintenance of project - technical files in accordance with business procedures. Complete method statements and risk assessments for all project works being undertaken. Maintain a clear understanding of all European directives and standards relating to the air conditioning and refrigeration industry. Undertake calculations and make selections of systems equipment and safety devices in accordance with related standards. Organise the preparation and issue of manufacturing / test certificates for both new and existing projects. As required attend project and / or supplier related meetings in order to represent the interests of JCI and maintain awareness of and highlight possible future changes that could impact our business. Evaluate and approve all safety related components for use in project / production execution. Participate in developing an understanding of chiller and HVAC design. Support other departments outside of contracts on technical matters, including customer queries via sales and design departments. Support all on-going continuous improvement programs. REQUIREMENTS: Experienced in project engineering. An understanding of modern compressor and refrigeration component technology An understanding of mechanical and electronic refrigeration control technology. An understanding of techniques for minimizing sound and vibration. Able to review technical literature and engineering data for accuracy Mechanical or Refrigeration Engineering qualification and/or a demonstrable track record of related experience (refrigeration) and/or training; or equivalent combination of education and experience. Proficiency with Microsoft Suite Applications is required. Must be a good communicator and concise report writer skill Is required to operate independent of routine supervision. Is expected to adjust priorities and team assignments as required by changing project demands. Able to travel abroad on business when required. Job Scope & Purpose NAVY HVAC Design Engineer Overview JCI Navy Systems is the leading global HVAC&R supplier for naval surface ships and submarines. We are seeking an energetic and highly motivated engineer for a position as HVAC Design Engineer reporting to the Design and Engineering Manager. This is an exciting and varied role which will involve some travel and working at customer sites around the world. Responsibilities * Working from customers requirements, specifications and drawings, design and develop HVAC systems that fully meet the stated requirements while maximising value for money. * Undertake heat load, ventilation, air balance and other calculations as required to complete the HVAC design activities * Specify HVAC equipment technical requirements and work with the contracts team to evaluate and approve suitable suppliers. * Work with the contracts team to ensure customer deadlines are met and that equipment supplied meets our requirements and stated specifications. * Develop test and commissioning plans to enable the HVAC system to be set to work and proven to meet the customers requirements. * Overview commissioning and approval of HVAC systems to ensure problems are quickly addressed and solutions developed where required. * Continually evaluate new HVAC equipment and solutions and develop best practice procedures to ensure that Johnson Controls can deliver cost effective optimised HVAC designs that exceed our customer expectations. * Qualifications * A degree in Mechanical or Marine Engineering, or specialist HVAC qualifications is essential * A demonstrable track record of professional engineering experience designing HVAC systems, preferably in navy, marine or offshore sectors is essential * Good working knowledge of relevant Naval and Marine rules (LRS, Def Stan 02-102, SOLAS, etc) is essential * Proficiency in using industry-standard mechanical HVAC system design and analysis software tools and AutoCAD * Excellent verbal and written communication and a thorough and rigorous approach to problem solving are a must.
