PA/Assistant Property Manager – Career progression offered!!! This is a new position to assist a very busy Director of a small firm of property managers. The job is a mixture of a PA role, an Assistant Property Manager and an Administrator and may be an interesting challenge for someone who has either been a PA or an Administrator in a property related job in the recent past. The tasks will include the following but training and guidance will of course be provided as it is understood that some tasks may be very new to the successful applicant. There is an opportunity to train to become a property manager if the successful applicant should decide that is a goal either now or in the future. Responsibilities •Taking reports of maintenance problems, logging them on our system, instructing contractors and following up to ensure repairs have been completed within a reasonable time frame •Seek comparative tenders for works and carry out mandatory consultations where necessary •Possibly carrying out regular Inspections of properties to identify actual or potential maintenance (and other) problems •Organise and possibly attending AGM’s & taking minutes •Prepare documentation for Companies House •Preparing and sending out Section 20 Notices which is a legal obligation •Ensuring compliance with Health, Safety, Fire Safety and various other legal obligations relating to Health and Safety to ensure that we are complying with important legislation on behalf of our clients •Deal diplomatically and sensitively with residents of the properties calling the office for whatever reason •Recording sickness, holidays and other leave •Recording staff expenses, overtime and TOIL and notifying same to Payroll •Recording & maintaining HR information and files •Dealing with payment of Defries office expenditure •Maintaining the Directors correspondence and on-going work files •Maintaining those files on the portfolio managed by the Director Most of the work listed below is undertaken by the Administrator but the Director’s assistant will need to be familiar with all systems and may need to help with these tasks from time to time: •Opening and distributing the incoming post & franking the outgoing post and taking it to the Post Office ( a few minutes’ walk) •Sorting out and undertaking the filing into the appropriate files •Banking of Cheques/Preparing Cheques against authorised invoices •Photo Copying documents on request •Preparing and send out Mail Shots •Typing of Letters for a Mail Merge and distributing the finished document •Telephone; Answering the phone, finding out what the call is about if the caller does not ask to speak to a specific member of staff, logging calls, taking messages and ensuring they are passed onto the correct person •Maintaining the Data Base of Current Contacts •Insurance - dealing with the brokers and flat owners over claims and recording them on the appropriate spreadsheet •Ensuring our data base of Contractors’ Insurance is up to date •Gathering the paperwork together to present to accountants and recording their status to ensure they are prepared on time •Land Registry Enquiries •Companies House Enquiries •General Correspondence & Memos •Other general clerical, administrative and secretarial tasks as necessary If you feel you have the relevant background and skills to succeed in this position then please forward a CV ASAP to be considered.
