Part Time Receptionist & Administrator
We have an exciting opportunity to join this leading company in Brighton as a part time Receptionist and Administrator.
HOURS: 13:30-17:15 (18.75 hours a week)
Overall Job Purpose
To provide an efficient and professional image of the company to all customers, suppliers, branches and members of staff.
Reception Duties
Front of house-meet and greet all visitors to the company in a pleasant and professional manner.
Ensure all visitors sign in upon arrival and sign out when leaving.
To offer refreshments to all visitors.
Organise meeting room ensuring cleanliness, arrange catering as required.
Managing the telephone system: - to include answering all calls within four rings, re-routing telephone calls and dealing with queries arising.
Sorting, date stamping, distribution of incoming post.
Accepting deliveries.
Participation of exhibitions as and when required.
Manage Meeting Room Calendar on Outlook.
Housekeeping of ground floor kitchen.
Organise catering arrangements as when required for internal meetings. Administration duties
General Administration to include:-
Updating customer database from returned mailers
Correspondence i.e. letters, memos, reports, mail merges, minutes
Excel spreadsheets - Maintaining / updating Excel databases
Administration of branch misc. paperwork
Maintain company visitor logs
Ordering of stationery
Testing of the fire alarm on a weekly basis
Administration of the company loyalty scheme
Deal with hotel bookings/organisation of events as and when required
Training course administration / course registers as and when required
General
