The position for Operations Executive in Newbury is no longer available
Due to the exciting expansion of their property portfolio in the Thames Valley and South Coast, the opportunity for a highly organised and efficient individual has arisen to join the team of a property company in their Newbury offices. My client is looking for a Operations Executive to perform administrative duties and other functions that help streamline the daily business operations as well as contribute to increasing team efficiency by giving support both operationally and administratively to the Guest Relationship team.
Duties will include but are not limited:
*Assist Guest Relations Manager with guest queries, questions and issues ensuring that all information gathered is accurately recorded in MATRiX (bespoke system)
*Daily data inputting of all housekeeping/maintenance/guest relations tasks and complete daily house keeping report.
*Supporting the Operations Manager with all administrative tasks such as filing, photocopying, printing, binding, scanning, laminating & shredding.
*Management and maintenance of hardcopy and electronic filing systems.
*Ensure gas safety records are accurate and up to date.
*Ensure all company vehicle records are accurate and up to date, diarising & arranging annual MOTs, Road Tax, company vehicle insurance, servicing, breakdown cover and any other general maintenance.
*Respond in a timely manner to all guest feedback and file appropriately.
*Full co-ordination of ensuring that apartment inventories are accurate and up to date..
*Assist the Guest Relationship Manager with guest check-in's and apartment inductions
*Co-ordinate and manage all 'welcome' and 'departure' emails to our guests in a timely and accurate manner.
*Sort and re-direct all guest and landlord post in a timely manner.
*Log keys in/out on MATRIX and conduct monthly audits
*Weekend working as a part of our Guest Relationship team - currently 1 weekend in 13. This entails answering calls and checking in guests at our apartments.
*Weekday evening working as a part of our Guest Relationship team - currently 1 evening a fortnight. This entails answering calls and checking in guests at our apartments.
The ideal candidate:
*Previous experience of working in the hospitality industry essential
*Previous experience of a fast-paced office environment preferable
*Valid UK driving licence essential
*Be a hands-on multi-tasker with the ability to work well under pressure
*Excellent verbal communication skills
*Excellent I.T. skills, data entry skills and good knowledge of Microsoft Office essential
*Highly organised and efficient
