Office/Facilities Assistant - 1 year contract - Newbury

Exciting opportunity for an experienced facilities or office assistant to join a reputable firm of solicitors in their Newbury office.

The are currently looking for a committed individual to join the Newbury office to provide support to many areas of the office and assist the office coordinator in their day to day duties. This will include the following duties:

** General Administration
** Working with receptionists to control meeting room calendar to ensure rooms are managed efficiently
** Ensuring that each meeting room and reception area is presented well and is set up appropriately
** Continuously monitor the quality of the food service delivery and presentation for functions and feedback
** Report any decline of the cleaning standards to the Office Coordinator
** Assist in controlling all costs associated with the general office area
** Ensuring all invoices are recorded and coded
** Ensuring that standards in relation to the Control of Substances Hazardous to Health are maintained throughout the building
** Assist Marketing and Reception in putting together badges
** Updating News and Events folder and brochures in reception area
** Opening, sorting and swift delivery of the post, faxes and DX
** Data entry for the Firm's deeds/wills/securities/documents onto the system
** Liaising with external storage suppliers
** Retrieving and archiving deeds, files and documents
** Maintaining deeds, EPA's and wills, archiving and filing in and out of strong room and off site
** Managing the cheque paying in and printing/signing process
** Monitoring shredding, confidential waste and re-cycling
** Providing a prompt photocopying and binding service
** Liaising with Office Coordinator in relation to re-stocking and running of office equipment and supplies
** Acting as the Health and Safety Representative where appropriate
** Providing support to the other members of the Facilities Team

The salary for this position will be £14,000 to £15,000 and a benefits package consisting of a contributory pension scheme after three months service, annual firm-wide bonus scheme and 25 days holiday, rising to 27 per annum with length of service will be offered.
